Job Description Summary

Responsible for providing support to V&A Lead - Americas as needed in an efficient and effective manner. Executive Administrator will work with the V&A Advisory Board to provide support and assist in strategic initiatives.

Job Description

Administrative Support

  • Schedule and organize calendar activities such as: meetings, agendas, luncheon arrangements and department activities, resolve scheduling conflicts and take responsibility for keeping executive on schedule

  • Plan and coordinate travel arrangements

  • Prepare business expense reports, track status and settle issues using own initiative and with limited direction from manager(s)

  • Prepare, collect and maintain information for the preparation of confidential reports, proposals, and other materials

  • Manage Phones - Answer and screen all incoming calls and relay messages

  • Respond to inquiries from clients and internal staff

Strategic Initiative Support

  • Collaborate with Americas V&A lead and Advisory board to determine and prioritize business strategies

  • Project Manage strategic business initiatives from development through successful execution

    • Serve as liaison between staff, V&A Advisory Board and V&A Lead Americas on project updates, proposals, and planning

  • Anticipate manager(s) and business needs and undertake necessary actions to produce effective results on time

    • Collaborate with Corporate V&A Partners and Advisory Board to solve problems before they reach the desk of the V&A Americas Lead

  • Perform additional ad hoc projects as requested by the V&A Americas - Lead

Key Competencies

Excellent written and verbal communication skills. Strong organization skills, critical thinking competences

and analytical proficiencies are essential. Ability to provide efficient, timely, reliable as well as courteous

service to clients and colleagues

Skills and Qualifications
  • Proven experience organizing and directing multiple teams and departments

  • Extremely versatile, dedicated to efficient productivity

  • Experience planning and leading strategic initiatives

  • Demonstrate suitable confidence, experience, and maturity to interface with senior executives and cleints

  • Ability to prioritize, work unsupervised and manage a varied workload

  • Ability to multi-task and meet deadlines for multiple projects

  • Experience with project management and solid business judgment

  • Experience with domestic and international travel

  • Experience in MS Office: PowerPoint, Word, Excel and Outlook

  • Comfortable and savvy with technology and willing to troubleshoot problems with smart phones, laptops, and tablets
