We are seeking a dynamic and organized Sales and Catering Coordinator to join our team at Embassy Suites by Hilton Colorado Springs. As a Sales and Catering Coordinator, you will play a crucial role in supporting the sales and catering departments to ensure the smooth execution of events and functions. Your primary responsibilities will include assisting with sales efforts, coordinating event logistics, and providing exceptional customer service to our clients.

Key Responsibilities:

Sales Support:

  • Assist the sales team with administrative tasks such as preparing proposals, contracts, and presentations.
  • Respond promptly to inquiries via phone, email, and in-person meetings.
  • Maintain accurate and up-to-date records of client interactions and sales activities using our CRM system.
  • Collaborate with the sales team to identify potential leads and opportunities for business development.

Event Coordination:

  • Work closely with clients to understand their event requirements and preferences.
  • Coordinate all aspects of event planning and execution, including room setup, audiovisual equipment, catering, and guest accommodations.
  • Ensure that all event logistics are executed flawlessly and according to the client's specifications.
  • Conduct site visits with clients to showcase our event spaces and discuss their needs.

Customer Service:

  • Provide exceptional customer service to clients throughout the planning process and during events.
  • Address any client concerns or issues promptly and effectively, striving to exceed their expectations.
  • Act as a liaison between clients and internal departments to ensure seamless communication and coordination.

Administrative Tasks:

  • Prepare and distribute event orders, banquet event orders (BEOs), and other necessary documentation to relevant departments.
  • Assist with billing and invoicing for events, ensuring accuracy and timely processing.
  • Maintain inventory of event supplies and materials, replenishing as needed.

Qualifications:

  • Previous experience in sales, catering, event planning, or the hospitality industry is highly desirable.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with a customer-focused approach.
  • Proficiency in Microsoft Office Suite and experience with CRM software preferred.
  • Ability to work flexible hours, including evenings and weekends, to accommodate client needs.
  • Detail-oriented with a high level of accuracy in all work activities.
