Position Summary

MSU Denver is currently search for an Assistant Office Manager and Outreach Coordinator. The Assistant Office Manager and Outreach Coordinator will be a member of the Department of Aviation and Aerospace Science's main office staff. This position is responsible for various main office duties representing the AVS Department on a variety of office functions, Banner scheduling, budget and finance activities, student and visitor engagement, events planning and marketing, and related duties as assigned.

The position is also responsible for assisting in activities for Outreach, Faculty, Administrators, Affiliate Faculty, support staff, and student employment. The successful candidate will share the values and goals of the AVS Department in pursuit of academic program excellence, which is core to MSU Denver's success as a renowned University.

Responsibilities

Office Administration/Budgeting Responsibilities (45%)

  • Assist in supervision of department student-employees (~8) to include hiring, time-card input/review, training, professional development, and performance evaluations
  • Serves as a primary liaison to Financial Aid for student-employees and will approve timecards and perform other basic duties in Workday for administrative functions with the guidance and oversight of the Director
  • Basic office responsibilities: duties/skills including answering phones, responding to emails, sending/providing prospective student info, greeting visitors, scheduling student appointments, filing, managing office supplies/ordering, etc.
  • Assist the Director in welcoming and onboarding new AVS employees
  • Promotes a diverse and inclusive environment and workforce for students and staff. Implements initiatives to enhance diversity, inclusion, and equity within the department
  • Assist the Director with securing and maintaining departmental financial documents, faculty and staffing employment documents, office budgets, various tracking and monitoring spreadsheets, and assisting with ordering processes for textbooks, office supplies, and related front office needs
  • Trained in MSU Denver Corporate Card for AVS Department purchases and acquisitions. Assist the Director with management of the departments institute's procurement cards and reallocates credit card purchases to appropriate accounts for department
  • Lead main office budget planning; departmental/student group travel spending management; expenses tracking and report creation using Workday with Director oversight
  • Assists in Director with tracking expense reports related to the duties of the front office manager. Monitors expenses and identifies cost-saving opportunities. Suggests impact-analysis metrics for assessing efficiencies within the front office
  • With the direction of the Director, makes referrals to appropriate departments and University offices to meet the needs of basic department functions and persons visiting the AVS office

Outreach/Public Relations (25%)

  • Assisting with scheduling departmental meetings, vendor and visitor visits, executive briefings, cross-collaborations with other academic and administrative departments, and stakeholders and constituents as needed
  • Assist the Director to design/distribution of department promotion and marketing materials; student services guides; curriculum guidance and forms
  • Assist the Director with marketing and event planning duties including creating promotional and marketing materials
  • Assist the Director on campus with visitor tours and open house events
  • Represents the department in public forums, industry events, and to other stakeholders as deemed appropriate by and in collaboration with the AVS Department Chair and Director. Work with vendors and conference exhibitors, assisting with logistics planning, and coordination of conference booth exhibitions and staffing
  • Collaborates with the Director and AVS advising team to implement and monitor strategies for student success, including academic advising and student support services

Banner Course Creation and Scheduling Management (20%)

  • Banner Schedule Entry and management for Fall, Spring and Summer terms
  • Traditional classroom and online course schedule creation; course and section load balancing; faculty and classroom assignments; mandated scheduling guidelines and requirements; enrollment monitoring and census reporting. Requires advanced
  • training in Banner scheduling process and procedures, and advanced skills in MS Project and MS Excel

Other Duties as Assigned (10%)

Job Knowledge, Skills, and Competencies

  • Strong verbal and written communication skills; the ability to communicate with a wide variety of constituents effectively and with a high degree of professionalism
  • Ability to maintain documentation and handle sensitive matters that require discretion and confidentiality
  • Proficiency with Microsoft Office Suite. Overall computer and technological proficiency with the ability to learn new systems, software, and tools
  • Ability to accurately manage multiple tasks simultaneously and meet deadlines
  • Ability to prioritize multiple competing priorities effectively
  • Ability to build positive relationships and demonstrate commitment to collegiality and mutual respect
  • Experience with providing courteous, prompt, and proactive customer service

Required Qualifications

  • Previous experience in applicable field, office management, higher education
  • Experience working in an administrative office and with providing proactive customer service
  • Bachelor's degree. Candidates with bachelor degrees to be awarded within 6 months of hire will be considered

Preferred Qualifications

  • Bachelor's degree. Candidates enrolled in a bachelor degree program will also be considered.
  • Experience working in higher education academic or administrative offices
  • Experience working specifically in higher education aviation office
  • Experience using office equipment e.g. copier, fax machine, network printer, smart conference room systems, SSC Navigate, etc.

Salary for Announcement

The anticipated hiring range for this position is $45,300 - $56,600. The full salary range is $45,300 - $68,000.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Work Hours/Type

Monday - Friday, 8am - 5pm, this position is in person at the Auraria Campus.
